AI WORKFLOWS
FOR BID TEAMS
THAT WIN WORK
Contractors and suppliers across Sarawak spend far too many hours digging through tender packs and rewriting the same paragraphs. Brakko changes that — with structured AI tooling built around how East Malaysian bid teams actually operate.

Level 01 — About
WHO
WE ARE
Brakko started in Kuching because the problem was visible every day. Small contractors in Sarawak were losing tenders to larger outfits — not because their pricing was off or their track record thin, but because they couldn't move fast enough on paper. A typical tender pack runs to 200 pages. A busy bid manager has three of them due in the same fortnight.
We build AI-assisted tools and programmes tailored to East Malaysian procurement cycles — government construction, infrastructure contracts, professional services panels. Our work sits at the operational layer: better document handling, reusable content stores, structured production workflows. No promises about outcomes, just cleaner processes that let your people focus on the parts only they can do.
Our office is in Padungan, Kuching. We work with clients across Sarawak and Sabah. Most of our engagements start with a single tender and expand from there once teams see how much time gets freed up.
Level 02 — Capabilities
THREE THINGS
WE DO WELL
DOCUMENT INTELLIGENCE
Complex tender packs — addenda, drawings, Bill of Quantities — distilled into structured briefs your team can actually act on. No more reading the same 40-page spec twice.
Tell Me More
BID CONTENT RETRIEVAL
Years of past submissions sitting in shared drives doing nothing. We turn that history into a searchable store — find the right paragraph, the right method statement, in under two minutes.
Tell Me More
PRODUCTION SYSTEMS
End-to-end bid production — from content planning through technical review to commercial sign-off. We design the process, build the tools and coach your team across live submissions.

THE EAST MALAYSIA
BID LANDSCAPE
Government procurement in Sarawak moves on tight submission windows. Here is what most teams are dealing with.
HEAVY DOCUMENT LOADS
A single JKR or JPS tender can run past 300 pages across main doc, addenda, drawings and pricing schedules. Reading time alone consumes days the bid team doesn't have.
SHORT SUBMISSION WINDOWS
Many public tenders in Sarawak run on 14 to 21-day windows. Rewriting standard sections from scratch every time is not a viable use of senior staff hours.
THIN BID TEAMS
Most contractors outside Kuching city centre have one or two people managing bids alongside other responsibilities. Every hour saved on document processing is an hour that goes into pricing and strategy.
SCATTERED PRIOR WORK
Five years of winning submissions scattered across personal drives, email threads and a shared folder nobody has organised since 2020. Valuable content, zero retrieval speed.
NO CAPTURE ROUTINE
After a submission goes in, most teams move straight to the next one. Win-loss analysis, reviewer feedback and pricing data rarely get recorded anywhere the next bid can draw on.
UNEVEN QUALITY
When each bid is written from scratch by whoever is least busy that week, submission quality varies — sometimes dramatically. A structured workflow levels this out without adding headcount.
Deep Dive · Document Intelligence
FROM 200 PAGES TO A TWO-PAGE BRIEF
A tender pack lands on a Friday. Submission closes Tuesday. The first thing any bid team needs is a clear picture of what is actually being asked — requirements, evaluation criteria, clarification deadlines, and the parts that are genuinely ambiguous.
Our summarisation service produces a structured brief in that shape, calibrated to the format your team already uses. Two rounds of calibration against past tenders you've handled mean the output fits your workflow from day one.

Deep Dive · Bid Library
YOUR PAST WORK IS AN ASSET — TREAT IT LIKE ONE
If your company has been bidding for more than three years, you have a library sitting dormant in shared folders. Method statements, experience summaries, pricing narratives that took hours to write and are now impossible to find.
The Bid Library Search programme ingests that history, tags it by sector, outcome and date, and gives your team a search interface with filters. Add a citation back to the source submission so writers always know where a paragraph came from.

Deep Dive · Production Programme
RESHAPING HOW YOUR COMPANY ASSEMBLES BIDS
For organisations submitting 20 or more proposals a year, ad-hoc production is a recurring cost. The Proposal Production Programme redesigns the whole flow — planning, drafting, review gates and post-submission capture — then coaches your team across three live bids.
At the end of 13 weeks you have a written playbook, four template types, and a team that knows how to use them without calling us every time. That is the point.

HOW WE WORK
Four things you should know before you call us.
SECTOR-SPECIFIC SETUP
Every engagement includes a calibration phase against your actual tender history — not a generic template carried over from another industry.
FIXED DELIVERY TIMELINES
Each programme has a defined scope and a stated number of weeks. You know what you are getting and when. No open-ended retainers by default.
KNOWLEDGE TRANSFER
We build things your team can operate. Training sessions and written playbooks are included in the Bid Library and Proposal Production programmes.
LOCAL UNDERSTANDING
We are based in Kuching. We understand East Malaysian procurement timelines, JKR processes, and the practical constraints of operating from Sarawak and Sabah.
Level 05 — Approach
OUR OPERATING
PRINCIPLES
STRUCTURE OVER SPEED
Rushing into a tool without understanding the existing workflow usually means building the wrong thing. We spend time upfront mapping how your team actually operates before recommending anything.
DATA STAYS WITH YOU
Your past submissions, pricing data and method statements are commercially sensitive. We design systems where that data is held in your own environment, not passed through third-party platforms without your oversight.
WRITTEN OUTPUTS
Every programme produces documentation your team keeps. Checklists, playbooks, librarian procedures. Not just a workshop and a slide deck — things that work when we are no longer in the room.
Level 06 — Services

Level 07 — Process
HOW AN ENGAGEMENT RUNS
From first contact to handover — the standard sequence across all three programmes.
SCOPING CALL
We spend 45 minutes mapping your current tender volume, document types, team structure and the specific friction points. This shapes which programme fits and how the calibration phase should be set up.
CALIBRATION & BUILD
We work with samples from your actual history — real tenders, real submissions, real pricing narratives — to calibrate tools and templates to your sector and style. The output at this stage is already usable.
HANDOVER & SUPPORT
Delivery includes documentation, training where the programme includes it, and a defined support window. You receive everything in a format your team can maintain going forward without ongoing dependency on us.
Level 08 — From Clients
WHAT BID TEAMS SAY
"We had three tenders running the same week in June. The summarisation brief meant I could hand one off to a junior estimator without briefing him for an hour first. He found the evaluation criteria himself, in about four minutes."
RAHMAN H.
Quantity Surveyor · Miri, Sarawak
July 2025
"The library search was a bit hard to picture before we started — we just knew things were buried. Six weeks later the team found a method statement from a 2021 roads contract in under two minutes. We actually used it in a current bid."
SERENA L.
Bid Manager · Kuching, Sarawak
June 2025
"Thirteen weeks sounds long but it moves fast. By week eight we were already running the third live submission ourselves, with the Brakko team reviewing rather than driving. That's what I wanted — something that stays useful after the programme ends."

Level 09 — FAQ
COMMON QUESTIONS
Do I need to have existing AI tools in place?
No. We design from your current setup. If you are running on email and shared drives, we build something that fits that reality first. AI tooling is layered in where it adds clear value, not imposed on top of a workflow that doesn't need it.
How sensitive is our bidding data during the engagement?
We handle tender documents, pricing histories and submission drafts with care. We'll agree upfront on how data is stored and who can access it. Confidentiality terms are included in every engagement agreement before work starts.
Can the Summarisation service handle Bahasa Malaysia tenders?
Yes. Most Sarawak government tenders come in BM and we set the brief template up to handle both BM source documents and English output, or whichever combination your team uses. This is covered in the calibration rounds.
What size company do you work with?
Mostly SME contractors and professional services firms — Grade G4 and above, typically with between 5 and 80 staff. The Summarisation service works well even for one-person bid operations. The Proposal Production Programme requires at least a small dedicated bid function.
Can we start with the Summarisation service and move up later?
That's a common path. Many clients start with a three-week Summarisation engagement because it has a low entry point and produces visible output quickly. After that, the calibration data we've built transfers into the Bid Library or Proposal Production work if you want to go further.
Do you work with clients outside Sarawak?
Yes — we work with clients in Sabah and across Peninsula Malaysia. The programmes are designed to run remotely with video calls and shared document workspaces. Being based in Kuching gives us an understanding of East Malaysian procurement that remote-only teams often lack.
